Instant Alert

The Instant Alert feature in Team App allows users to quickly notify team members or entire teams in real-time. It is divided into two sectionss:

Individuals Section

This section is used to send alerts to specific team members.

How To Use:

  • Go to the "Individuals" section.
  • Select a team member from the list.
  • After selection, choose one of the following alert options:
  • Send Voice Message: Record audio message and send it instantly.
  • Live Voice Call: Initiates a direct voice call to the selected individual within the app.
  • Send "Call Me" Message: Send a quick alert prompting the recipient to call back or respond immediately.

Teams Section

This section lets you send the same types of alerts, but to entire teams instead of individuals.

How To Use:

  • Go to the "Teams" sections.
  • Select a team from the list.
  • Choose from the same alert options:
  • Send Voice Message (to all team members)
  • Live Voice Call (team-wide broadcast)
  • Send "Call Me" Message (notifies all team members)

All Tasks

The "All Tasks" section is a centralized hub where you can monitor every task related to you and your teams. Whether you're assigning tasks, receiving them, or overseeing team progress, this section helps you manage work efficiently with multiple views, filters, and smart features.

Three Task Views

Assigned by Me

  • This list shows all the tasks you have created and assigned to your team members.
  • You can track whether the assigned person has completed the task
  • You can see the status (Pending, In Process, Completed, Rejected)
  • You can know when it was started or completed.

All Tasks

  • This is the default overview screen showing all tasks
  • Tasks assigned by you to others
  • Tasks assigned to you by others.
  • Tasks assigned among team members (even if you are not directly involved).
  • It acts as a task timeline for everything happening in your workspace.

Assigned to Me

  • Shows only the tasks where you are the assignee.
  • You can: View task descriptions, deadlines, and status.
  • Change the status as you work (e.g., from Pending → In Process → Completed).

Smart Filtering Options

You can filter and find tasks easily based on different conditions:

By Member

  • View tasks related to all members or a specific person.
  • Tasks linked to a specific person - either tasks they gave you, or you gave them.
  • For example, you can check who assigned the task to you or which tasks you assigned to someone

By Status

Track tasks based on their current stage:

  • Completed
  • In Process
  • Rejected
  • Pending

By Team

Filter tasks by:

  • All Teams (shows tasks from every team)
  • A particular team (see tasks related to only one team)

Draft Tasks Feature

  • You can create a task and save it as a draft.
  • Drafts are saved locally, so you can review or complete them later before assigning.
  • Review the draft.
  • Make changes.
  • Assign it when you're ready.

Distance Display

  • For each task, the distance from your current location to the task location is shown (e.g., "32.6 m").
  • Helps you identify how far a task's activity point is.
  • Each task shows a distance label like:
    "32.6 m", "120 m", "1.5 km", etc.
  • This measures the distance between: Your current location and The location where the task needs to be done (if provided).

Other Useful Features

  • Search Bar: Quickly find a task by typing the member's name or part of the task title.

Create Task

 

The "Create Task" feature in the Office Team App is a powerful and intuitive module designed to streamline task assignment within teams or organizations. It allows Admins or Managers to assign tasks with precision, including location, media, scheduling, and team targeting.

Mandatory Details

To create a task, the following are mandatory:

  • Task Name: The core title or subject of the task.
  • Individual Member: You can assign the task to any specific employee.
  • Team Assignment: You can also assign the task to a predefined team.
  • Message: A text field or media message describing the task.

Location Assignment

One of the unique features is the ability to assign tasks based on specific locations. You can choose:

Google Places:

  • Uses Google's Places API.
  • Allows the admin to type and pick from real-world locations with autocomplete.
  • Ideal for outdoor or public place-related tasks.

Predefined Locations:

  • Locations set by the Admin beforehand via the Settings module.
  • Used for fixed company sites like offices, warehouses, or client locations.
  • Ensures consistency and easy selection of common locations.
  • Admins can add and manage predefined locations via the Admin Panel under Settings.
  • These are typically office branches, warehouses, or routine work sites.

This ensures the task is geo-tagged, and employees can only complete the task at or near the assigned location.

Media Attachment Options

Enhance task clarity by attaching:

  • Images
  • Voice notes
  • Documents (PDF, DOC, etc.)

Instant/ Scheduled Tasks

Choose how and when the task is delivered:

  • Instant: Sent and notified immediately like a push message.
  • Scheduled: You can set a future date and time for automatic delivery.

Phone Call-like Task Notification

When the receiver gets a task:

  • It appears like an incoming call.
  • Ensures high attention and immediate acknowledgment.
  • Especially useful in urgent or field-related work.

Email Notifications for Task

Task Assigned: When a task is assigned, the receiver gets an email with all task details (name, location, schedule, attachments, etc.).

Task Accepted: When the receiver accepts the task, the creator gets an email saying: "Task has been accepted and is now in process."

Task Rejected: If the receiver rejects the task, the creator gets an email with status: "Task has been rejected."

Task Completed: When the task is marked as completed, the creator receives an email confirming: "Task has been successfully completed."

and daily office needs efficiently.

My Teams

View all your team members and the teams assigned for specific tasks .This section helps you monitor collaboration and understand team compositions for better coordination.

  • View teams and team members.
  • Check project/task-wise team distribution

Instant Alert

Send instant alerts to team members related to urgent tasks. Alerts are received as call notifications. You can also include a voice message or initiate a live voice call. 

  • Send task alerts.
  • Record and send voice messages.
  • Live voice calling with team members.

Set Task & Create Task

Create and manage tasks. You can view three types of task lists: Assigned by Me, All Tasks, Assigned to Me.

  • Create new tasks.
  • Track progress and assignments.
  • You can attach multiple doc, audio, images in task

Office Attendant

A virtual bell feature to call an particular office attendant selected by user. When pressed, it sends a notification to the respective attendant.

  • One-click call to office attendant.
  • Used for internal office assistance.

Directory

A centralized place for contact information of staff and vendors. The directory is divided into: Staff Directory and Vendor Directory.

  • Staff Directory: Names, roles, and contact info of all staff.
  • Vendor Directory: Details of vendors like electricians, repairmen, etc.
  • You can search vendor via use the filder to find specific vendor: designation, profession, type, category

Calendar

View upcoming birthdays and office holidays.

  • Check birthdays, holidays.
  • Monthly and weekly calendar views.

Events

Create and manage personal or team-related events such as meetings, holidays, or reminders.

  • Add custom events to the calendar.
  • Get reminders and manage your schedule.
  • You can set your daily schedule.
  • You can create event for a individual person or also for a team
  • You can attach multiple doc, audio, images in task

My Location

This section includes a Google Map showing your current location and a list of pending tasks. Tasks are sorted based on their proximity to your current location.

  • Live map integration.
  • Distance-based task sorting.
  • You can see task nearby your current location

My Team Section

The 'My Team' section lets you easily manage team structure and members. It’s organized into two simple, user-friendly tabs.

  • All Members: A directory of every team member with their contact details.
  • Teams: A list of structured teams created within the organization.

This section is designed to help employees quickly find people, manage team groups, and perform relevant actions efficiently.

All Members

  • This Section shows a full list of all registered members in your team or organization
  • Profile Cards: View names, photos, designations, and teams, location schedule etc.
  • Search Bar: Instantly find any employee by typing their name or department.
  • Bottom Pop-up Menu: Tap any member to open a detailed bottom pop-up with actions:
  • View Profile: See full information including employee code, reporting manager, and joining date.
  • Call or Message: Quick action buttons for direct contact.
  • Bookmark: You can make bookmark of a employee's profile this will be shown on your phone's home screen
  • Send Reminder: You can send reminder to a particular employee related to pending/ process task
  • Delete Employee: (Only visible to admins/TL) - Remove a employee from the team Admin can Permanently delete or Temporary disable any employee.

Teams

This Section organizes team members into smaller structured teams (like departments or project-based groups).

  • Team List: Displays each team's name and member count.
  • Bottom Pop-up Menu: Tap on a team to open a menu with the following options:
  • View: Opens a list of all members in the team.
  • Edit: Modify the team name or team members (admin/ TL only feature).
  • Send Reminder: Trigger a notification or reminder to all members for pending/ process task.

How to Use the "My Team" Section

Step 1: Navigate to "My Team" from the app dashboard. You'll see two tabs at the top: All Members and Teams.

In All Members Section

  • Scroll or use the search bar to find a member.
  • Tap a member's card to open the bottom pop-up
  • Choose one of the available options
    • View Profile
    • Call / Message
    • Delete (if you're an admin)

In the Teams Section

  • Browse the list of existing teams.
  • Tap on a team to open the bottom pop-up menu.
  • Choose an action:
    • View - See all team members.
    • Edit - Change team details or members.
    • Send Reminder - Push a reminder notification to the whole team.
    • Only employees with the correct permissions (like Admins or TL) can edit teams or delete members.
    • Use Teams to organize project groups, departments, or reporting units.
    • Sending reminders is a great way to alert your team about upcoming tasks or deadlines.

Privacy & Access

  • Member details are only visible to those within the same team or office.
  • Only admins or designated managers can perform critical actions like deleting or editing
